Job Description Summary
Penn Vet's New Bolton Center provides an internationally renowned standard of care. Located on a campus of some 700 acres in Chester County, Pennsylvania, New Bolton Center has one of the largest caseloads of any academic large animal hospital in the nation. Under limited supervision, this position provides secretarial, administrative and other programmatic support to the Clinicians in our Field Service Department. The responsibilities will include interacting with clients both internally and externally, clerical, billing and scheduling for Field Service clinicians as well as organizing hospital visits.Position located in Kennett Square, Pa. No public transportation available.

Job Description

Under limited supervision, this position provides secretarial, administrative and other programmatic support to the Clinicians in our Field Service Department. The responsibilities will include interacting with clients both internally and externally, clerical, billing and scheduling for Field Service clinicians as well as organizing hospital visits. Provide administrative support to twelve Field Service clinicians. Answer incoming calls and route calls to on call clinicians, schedule appointments for multiple species and maintain calendars in the EM. Answer incoming calls, schedule appointments for a variety of species. Handle client needs/concerns with patience and care. Enter charges in Field Service EMR, prepare and email monthly invoices to clients utilizing our EMR, apply finance charges when required and reconcile charges. Manage client concerns related to billing questions. Create an order in RIS for clinicians when imaging is required for any Field Service patient. Prepare schedules for both Veterinary and Harcum students on Field Service rotation. Assist Field Service Supervisor when necessary. Collate and distribute mail. File and maintain medical records.

Qualifications
High school diploma/GED and 2 -3 years of experience, or equivalent combination of education and experience, are required. Minimum 5 years work experience in a fast paced office environment, previous veterinary office work experience, preferred. Good verbal and written communication skills, organization and time management required Attention to detail Computer proficiency required. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. Assuring a steady completion of workload in a timely manner is key to success in this position. Must have ability to work in Microsoft Excel and Outlook calendars.
